Duties and Responsibilities
The Administrative Assistant's primary responsibility is to provide administrative and professional support to the principal and team members of the firm. My client is looking for someone who is confident in their ability to jump in and help the team as needed.
Responsibilities and duties include:
- Setting up, reviewing, and revising Financial Statements (FS) in Jazz-it and CaseView to meet appropriate deadlines
- Preparing final FS packages for client delivery with a high degree of accuracy and attention
- Inputting trial balances and ensuring appropriate correspondence is placed in CaseWare file
- Filing various tax returns and other documents
- Following up with clients on outstanding completion documents to be returned for finalize process
- Rolling forward, clean up and lock down of CaseWare files, and archiving files to meet appropriate deadlines
- Maintaining and updating monthly stats and other tracking systems for assemblies and administrative processes
- Organizing meetings involving multiple senior executives from both the firm and various other companies
- Assisting with the preparation of business presentations and scheduling/preparation of marketing events
- Managing typing of all voice recordings and correspondence as required
- Responding to client requests and inquiries
- Preparing invoices, managing accounts receivable, calling clients and processing payments
- Preparing and/or editing internal and external letters, faxes, memos and mass emails
- Performing additional functions as directed
Qualifications
- College or University degree preferred
- Minimum 1-3 years experience in a professional administrative capacity, preferably in an accounting firm
- Experience with Jazz-it, CaseWare and TaxPrep programs, preferred
- Experience supporting multiple team members of the firm
- Ability to exercise good judgment, show initiative and be proactive
- High ethical standards and confidentiality to handle sensitive information
- Advanced knowledge of MS Office and Excel
- Sound knowledge and understanding of bookkeeping functions
- High attention to details in all areas of work
- Excellent problem-solving skills and an ability to work in a team environment
- Exceptional organizational, time management and prioritizing skills
- Proven ability to effectively prioritize workflow
